Privacy Policy

1. Introduction
PEIPS (Phronesis Executive Intelligence Public Safety) is operated by Aeternum Systems LLC ("Aeternum Systems," "we," "us," or "our"). This Privacy Policy explains what information we collect through the PEIPS platform, how we use it, and the choices available to you. By accessing or using PEIPS, you agree to the practices described here.
2. Who PEIPS Is For
PEIPS is a public safety intelligence platform built for government agencies, public safety officials, analysts, and authorized organizational users. It is not a consumer service and is not directed to the general public or to children.
3. Information We Collect
Account information. When an account is created, we collect identifying details such as name, work email address, organization or agency, and role.
Authentication data. We store credentials in a secured form. Passwords are never stored in readable text.
Usage and log data. We record activity within the platform, including pages viewed, features used, timestamps, and the device and browser characteristics needed to operate and secure the service.
Technical data. We collect IP address and similar network identifiers for security, fraud prevention, and access control.
4. Public Safety Data Within PEIPS
PEIPS presents aggregated public safety statistics drawn from publicly available government sources, including state incident based reporting systems and county open data portals. This information reflects jurisdiction level and community level statistics. PEIPS does not collect, request, or store personally identifiable information about members of the public beyond what is already published in these public sources and presented in aggregate form.
5. How We Use Information
We use the information we collect to:
- provide, operate, and maintain the platform;
- authenticate users and protect account security;
- respond to requests and provide support;
- monitor performance, diagnose problems, and improve features;
- maintain audit logs and meet legal and contractual obligations.
6. How We Share Information
We do not sell personal information. We share information only as follows:
- Service providers. We use trusted infrastructure providers to host the platform, store data, and deliver intelligence features. These providers process data on our behalf under contractual terms and are listed in our Trust Center.
- Legal compliance. We may disclose information when required by law, regulation, legal process, or a valid government request, or to protect the rights, safety, and security of users and the public.
- Business transfers. If Aeternum Systems is involved in a merger, acquisition, or sale of assets, information may transfer as part of that transaction, subject to this Policy.
7. Data Security
We protect information using encryption in transit and at rest, role based access controls, tenant isolation, multi factor authentication on administrative accounts, and continuous logging of privileged activity. Additional detail is available in our Trust Center. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
8. Data Retention
We retain account and usage information for as long as an account remains active and for the period required to meet legal, contractual, and operational obligations. When data is no longer needed, it is deleted or rendered anonymous in a verifiable manner.
9. Your Rights and Choices
Depending on your jurisdiction, you may have the right to access, correct, export, or request deletion of your account information. To exercise these rights, contact us at cjm@aeternumsystems.com. We will respond within the timeframe required by applicable law.
10. Cookies and Tracking
PEIPS uses only the cookies and local storage necessary to keep you signed in and to operate the platform securely. We do not use advertising cookies and we do not sell data to advertisers.
11. Children's Privacy
PEIPS is not intended for use by anyone under the age of eighteen, and we do not knowingly collect information from children.
12. Changes to This Policy
We may update this Privacy Policy from time to time. When we make material changes, we will update the effective date above and, where appropriate, provide additional notice.
